Privacy Policy

This page explains what personal and business data Rebound Nordic collects when you use our VAT reclaim service, why we collect it, and how it's handled. It's written in plain language rather than legal boilerplate, but it is a template. Before you rely on it as your binding privacy policy, have it reviewed by your own legal counsel to make sure it matches your actual data flows and the jurisdictions you operate in.

What we collect

• Account details: name, work email, company name, password (hashed, never stored in plain text).
• Trip and expense data you submit: destinations, dates, receipts, merchant and amount information.
• VAT registration details: your company's VAT number and country of registration.
• Bank details you provide for payouts: account holder name, IBAN, BIC/SWIFT.
• Basic usage data: login timestamps, device/browser info, and product analytics used to improve the service.

Why we collect it

We use this data to prepare and submit VAT reclaim applications on your behalf, verify your identity and authority to act for your company, communicate with you about the status of your claims, and pay out recovered VAT to your bank account. We do not sell your data to third parties.

Who we share it with

Receipts and claim data may be shared with the relevant tax authorities and, where applicable, refund intermediaries as part of submitting your reclaim. Bank details are used solely to process payouts and are never shared beyond what's required to complete a transfer.

How long we keep it

We retain claim records for as long as required by the relevant tax authority's retention rules (typically several years), and account data for as long as your account is active plus a reasonable period afterward for legal and accounting purposes.

Your rights

You can access, correct, or request deletion of your personal data by contacting us at contact@reboundnordic.com. Some data related to active or historical tax claims may need to be retained even after a deletion request, where required by law.
